Worklean Private

You’re a tenant and want to terminate your lease. Here’s how you proceed with Worklean Private.

Set up a guided project in less than 30 seconds (with practice, you can do it in under 10 seconds):

  • Step 1: Enter the project name – “Lease Termination My Street 10”
  • Step 2: Choose and upload the guided project (template) Beendigung des Mietverhältnisses durch den Mieter, aus Mietersicht [Lease termination by tenant, from tenant‘s perspective]
    This project includes a checklist, instructions for terminating the lease from the tenant’s side, and appropriate template documents.
  • Step 3: Invite involved parties – Invite project participants like co-tenants, lawyers, either immediately or later.
  • Step 1: Review the checklist and familiarize yourself with the various project phases: preparatory actions, termination notice, returning the apartment, and storing documents. Study the legal note on termination of the lease by the tenant. They provide practical insights into the legal background of the project phases. After about 15 to 20 minutes, you’ll be acquainted with the process.
  • Step 2: Now use the precedents – termination notice or termination agreement. You can process the draft in our office software called Collabora, you don’t need to leave the cloud. In a short time, you’ll have a first draft ready.
  • Step 4: Delete template documents that aren’t needed and obtain additional documents that aren’t part of the guided project. You can find these in the Worklean Templates Manager or upload them from your own collection.
  • Important: Document all actions in the checklist and upload any necessary documents to the project, placing them in appropriate locations.

The termination notice will be received by the landlord and possibly confirmed. Now it’s about processing the apartment’s return. Worklean guides you through all the steps in the checklist, from addressing renovations to clearing out the apartment and releasing the security deposit. Everything is clearly listed in the instructions, and you can check them off step by step in the checklist. And all of this within the same platform. It’s thorough, fast, and super organized!

Once you’re done, it’s important to transfer the completed (relevant) project documentation into a permanent filing structure. For managing your private documents, we offer a guided project (template) called “Private” in Worklean Private. The template allows you to securely and transparently store your documents. You can easily upload the guided project (template) and transfer the relevant documents from the Lease Termination project to Private with a single action. Afterward, you can delete the “Lease Termination” project. Now, you’ve tidied up and completed the “Lease Termination” project.

In most cases, when terminating your current lease, you often have to simultaneously arrange for a new lease. Worklean is highly practical. In Worklean, there’s also a guided project (template) called Miete einer Wohnimmobilie [Renting a Residential Property] Here too, you’ll find a checklist for the rental process and practical guidance on what you need to consider when establishing a new lease. Naturally, there are also template documents, like an object list where you can input details about potential rental properties, or a template for a tenant’s self-disclosure or a rent debt clearance certificate. Landlords usually request such declarations from you. There’s even a template for a handover protocol. While landlords typically provide this, you can incorporate your template if they don’t have one—documenting the handover is important.
Realistically, the two projects, Lease Termination and Renting a Residential Property, often run in parallel. The lease for the new apartment usually begins even before the termination of the current one. The great thing about Worklean is that you can set up both projects in your workspace simultaneously. You can create different project rooms for this purpose or set up both projects in one project room with different sections.
The project documents will converge in your Private storage project after each respective project concludes—where everything that’s been processed is stored. And you should delete the completed projects to keep your workspace clean and avoid a project graveyard.

You’re the director of a GmbH (limited liability company) and want to prepare a shareholders’ meeting.

Set up a project in your workspace (in less than 30 seconds):

  • Step 1: Enter the project name – “Shareholders’ Meeting of [Company Name] GmbH on [Date]”
  • Step 2: Upload the guided project (template) Gesellschafterversammlung – GmbH [Shareholders‘ Meeting – GmbH] consisting of a checklist, instructions for holding a shareholders’ meeting/decision-making GmbH, and suitable template documents.
  • Step 3: Invite people – Invite project participants immediately or later; potential participants include other directors, shareholders, lawyers, and other attendees.
  • Step 1: Review the checklist and familiarize yourself with the instructions, particularly the types of meetings, required format, and deadlines for invitations and meeting conduct. The requirements for a virtual meeting are discussed (you’ll need 15 to 20 minutes to get acquainted).
  • Step 2: Prepare the invitation for the shareholders’ meeting and even draft the minutes based on the invitation.
  • Step 3: Delete templates you don’t need and obtain additional documents if they’re not part of the guided project. You can find these in the Worklean Templates Manager or upload them from your own resources.
  • Step 4: Send the invitation along with attachments to participants (shareholders) in the correct form and on time. If agreed upon, you can simply send participants a link to the Shareholders’ Meeting project. Participants can then view everything online on a shared platform. They won’t need to carry documents and won’t be burdened with administrative tasks—everything can be centrally managed by one person.
    Important: Document progress in the checklist, send documents, upload documents, and make sure to send links to the project room or invitations to video conferences to external participants (guests).
  • Step 5: Store all documentation related to the shareholders’ meeting in your folder and invite additional participants to the project if needed. Ensure that participants log in and use the project room. This ensures that contributions to the shareholders’ meeting are collected in one place.
  • Step 6: Conduct the shareholders’ meeting. In your project room, you can real-time record attendance, quorum, and adopted resolutions. All participants can watch and provide immediate corrections if necessary.
  • Step 7: At the end of the session, you can sign the minutes and send them straight away to the participants or upload them to the project room.

When you’re done with the Shareholders’ Meeting project, it’s crucial to tidy up! We recommend transferring the completed (relevant) project documentation into a permanent filing structure. For managing your business documents, there is the guided project (template) Mein Unternehmen [My Company] in Worklean. The template enables you to have a permanent and structured organization of your documents. You can upload the guided project with a single click and transfer all relevant documents from the Shareholders’ Meeting – GmbH project into the filing structure with one action.   • Step 1: Take the checklist and familiarize yourself with the instructions for founding an association, particularly the requirements for recognition as a nonprofit organization.
  • Step 2: Prepare the founding protocol and articles of association in coordination with the other founding members.
  • Step 3: Invite individuals – Invite project participants immediately or later, particularly the other founding members of the association (there must be at least seven founding members in total).
  • Step 3: Delete templates you don’t need and obtain any additional documents that are not included in the guided project. You can find these in the Worklean Template Manager or upload them from your own resources.
  • Step 4: Send the invitation to the founding meeting along with attachments to the founding members. You can also provide the founding members of the upcoming association access to the project and founding documents via a link. Participants can then view everything online on a shared platform. They don’t need to carry documents or handle administrative tasks – one person can centrally manage everything.
  • Important:Track progress in the checklist, send documents, upload and organize documents, send links to project spaces or invitations to video conferences to external participants (guests).

Preparing the founding process, founding protocol, and articles of association is straightforward, and the founding process can be conducted smoothly. Thanks to the guided project (template), you are well-prepared. You can have the signatures authenticated by a notary and then register the association in the association register. After registration, you can obtain your corporate tax number and apply for non-profit status (which you’ve already coordinated with the tax office using the checklist before founding the association and registering it, to avoid unnecessary changes requiring re-registration of the statutes). You can read and follow all these steps in our checklist.

When you’re finished with the Association Founding project, it’s essential to tidy up! We recommend transferring the completed (relevant) project documentation into a permanent filing structure. For managing your association documents, there is the guided project (template) “My Association” in Worklean. The template enables you to have a permanent and structured organization of your documents. You can upload the guided project with a single click and transfer all relevant documents from the “Association Founding” project into the filing structure with one action. How to create a guided project in Worklean?

Worklean provides you with many guided projects to manage your daily private, professional and non-profit affairs. We are focused on the management of tasks which each of us faces and for which you need to have certain expertise, such as concluding a rent contract, terminating an employment, holding a shareholders’ meeting or founding a non-profit association, etc.
As much as we would like to deliver to you every guided project (template) you may need in your preferred personal stile we are likely to fail in this because you have your specific needs and only you can cover them appropriately. Besides it will make the platform confusing to have an indefinite number of similar guided projects and it will become difficult to pick the appropriate one.
Hence Worklean offers you the option to create your own personalized guided projects. In your dashboard you have a template manager which allows you to create and file templates.

A template is information bundled in one or more folders and / or files which can be uploaded into a project in order to be adopted to meet the needs of the specific project. Whilst the uploaded files and folders are modified the original information bundle continues to stay unmodified as a precedent in your template manager.
A template is the base for any guided project in Worklean. A guided project is a template that consists of several documents and possibly folders to give you the necessary competence and structure to complete a specific process or administer certain affairs.

There are two basic types of guided projects. Type one consists of several files. Type two consists of several folders.

The several-files-guided-projects serve to resolve a specific affair. Let us say you want to rent out a flat, which you own, you are likely to use our guided project Vermietung einer Wohnimmobilie [Renting out a flat/residence] which consists of a number of files. The guided project will be uploaded into your project „Rent out a flat/residence“ any time you wish to do so. The need to use the guided project for renting out the flat / residence ends as soon as you have rented out the flat/residence and you have handed it over to the tenant and the deposit has been paid by the tenant, i.e. its specific purpose has been achieved.

A several-files guided-project consists typically of a checklist to manage the project, a legal note covering all the legal issues you face managing and processing the project and a number of sample documents designed to be applied for the contracting, legal dealings and other paperwork along your project. It may be well that you do not need all the sample documents contained in the guided project and that there may be some which are missing and others which are there but where you prefer to use your own precedent. All of this can be managed after having uploaded the guided project into your project room, by deleting, replacing or adding sample documents. And thereafter you can adjust and finalize the sample documents in our cloud editor.

A several-folders-guided-project typically serves for a continuing management of your private, professional or non-profit affairs. The folders in the guided project are typically structured in head folders and subfolders at various layers. They allow for storing information permanently in a structured way so that you can find it and use it at any time. The information bundled in your individual projects are supposed to be transferred to a project established on the basis of a several-folders-guided project after such individual project has reached its purpose.

If you rent out your property – using the guided project Vermietung einer Wohnimmobilie [Renting out a flat/residence] – you are supposed to transfer the (signed) documents (rent contract, handover protocol, others) into a project] for permanent storage. Acting privately (i.e. no professional letting of space), you would store the information in your permanent project Privates [My private affairs], which has been established with the help of the guided project Privates (consisting of head folders for the different areas of your live (status, health, living, job, mobility, finances/ provisioins, contracts, leisure) and relevant subfolders. After transfer of the documentation form the Rent-Out-Project to “Privates” under the folder finances/ provisions (Renting out is a source of income), you may delete the specific project of renting out the flat/residence.

As a first step you should be clear about what type of guided project you want to set up? Is it for a specific affair or is it for permanent management of information. In the first case you would look typically for files (checklist, legal note, sample documents) in the second case typically for a structure with folders.

As a next step you can screen your existing projects for precedents and check whether there is any project which contains the files or folder structure you need for the set-up of your guided project. Copy then the relevant files into and/or create the necessary folders in the new template or upload the files and folders from the existing project directly into a new template in your template manager. Then give to your new template / guided project a title.

Thereafter you clean up the files and folders by removing any specific information and replacing it with place holders or specific instructions. Add any information which is missing.

Your new template should be specific enough to serve the defined purpose and it should be flexible enough to cater for any deviations. If you create e.g. a guided project for conclusion of supply contracts with your customers you may want to include in the guided project, the options for different supply types in your checklist as well as various types of sample documents, so that you can use the guided project for the supply contracts with all of your customers, even though you may not need all of them in a specific project.

The template is stored in your template manager and can be uploaded as guided project at any time into a concret project as basis for the processing of such project. Within the template manager you may edit the guided project at any time in order to adjust it, if the requirements for the guided project have changed.
